This privacy notice tells you what to expect us to do with your personal information. The Company is a recruitment business which provides work-finding services to its clients and work-seekers. The Company must process personal data (including sensitive personal data) so that it can

provide these services – in doing so, the Company acts as a data controller. 


You may give your personal details to the Company directly, such as on an application or registration form or via our website, or we may collect them from another source such as a jobs board. The Company must have a legal basis for processing your personal data. For the purposes of providing you with work-finding services and/or information relating to roles relevant to you we will only use your personal data in accordance with the terms of the following statement.

What information we collect, use, and why


The Company will collect your personal data (which may include sensitive personal data) and will  process your personal data for the purposes of providing you with work-finding services. This includes for example, contacting you about job opportunities, assessing your suitability for those

opportunities, updating our databases, putting you forward for job opportunities, arranging payments to you and developing and managing our services and relationship with you and our clients. 


In some cases, we may be required to use your data for the purpose of investigating, reporting anddetecting crime and also to comply with laws that apply to us. We may also use your information during the course of internal audits to demonstrate our compliance with certain industry standards.


We collect or use the following information for recruitment purposes:


  • Contact details (e.g. name, address, telephone number or personal email address)
  • Date of birth
  • National Insurance number
  • Copies of passports or other photo ID
  • Employment history (e.g. job application, employment references or secondary employment)
  • Education history (e.g. qualifications)
  • Right to work information
  • Details of any criminal convictions (e.g. Disclosure Barring Service (DBS), Access NI or Disclosure Scotland checks)
  • Security clearance details (e.g. basic checks and higher security clearance)


We also collect or use the following information for DE&I monitoring:

Lawful bases


The legal bases we rely upon to offer these services to you are:


  • Where we have a legitimate interest
  • To comply with a legal obligation that we have
  • To fulfil a contractual obligation that we have with you

  • Schools, colleges, universities or other education organisations

The Company believes it’s reasonable to expect that if you are looking for employment or you have posted your CV on a job board or professional networking site that you are happy for us to collect your data for the purpose or providing recruitment services to you as well as sharing your

information with prospective employers. 


How long we keep information


The Company will retain your personal data only for as long as is necessary for the purpose we collect it. Different laws may also require us to keep different data for different periods of time. 


The Conduct of Employment Agencies and Employment Businesses Regulations 2003, require us to keep work-seeker records for at least one year from (a) the date of their creation or (b) after the date on which we last provide you with work-finding services.


We must also keep your payroll records, holiday pay, sick pay and pensions auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation. 


Where the Company has obtained your consent to process your personal and sensitive personal data, we will do so in line with our retention policy. Upon expiry of that period the Company will seek further consent from you. Where consent is not granted the Company will cease to process

your personal data and sensitive personal data. 


Who we share information with


The Company will process your personal data and/or sensitive personal data with the following recipients:


  • Clients/employers that the Company introduce or supply individuals to;
  • Your former or prospective new employers who wish to obtain or provide references;
  • Payroll service providers who manage your payroll on your behalf;
  • Other recruitment agencies in the supply chain to clients/employers;
  • Public information sources and third party organisations to carry out suitability checks e.g Companies House, the Disclosure and Barring Service (DBS), Higher Education Degree Datacheck (HEDD), Financial Conduct Authority (FCA), Driver and Vehicle Licencing Agency (DVLA), credit reference agencies;
  • The Recruitment and Employment Confederation;
  • Information Commission Officer and other regulatory authorities who carry out audits; 
  • The Company’s insurers;
  • The Company’s legal advisers;
  • The Company’s IT and CRM/database providers.


Sharing information outside the UK


Where necessary, we may transfer personal information outside of the UK. When doing so, we comply with the UK GDPR, making sure appropriate safeguards are in place. Please contact us for more information.


Your data protection rights


Under data protection law, you have rights including:


Your right of access - You have the right to ask us for copies of your personal data.

Your right to rectification - You have the right to ask us to rectify personal data you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal data in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal data in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances.

Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent.

You don’t usually need to pay a fee to exercise your rights. If you make a request, we have one calendar month to respond to you.
